Abstract

The Payroll Records consist of computer output microfiche of the payroll register for all Oregon State University employees -- faculty, staff, and students -- from 1971 through 1998.  The microfiche was produced by the Oregon State System of Higher Education, which provided administrative and institutional services for the public universities and colleges in Oregon.

Scope and Content Notes

The Payroll Records consist of computer output microfiche of the payroll register for all Oregon State University employees – faculty, staff, and students --  from 1971 through 1998.  The payroll register provides the following information for each employee: name; social security number; gross and net monthly pay and year-to-date totals;  the account(s) from which the employee was paid; monthly deductions for taxes, benefits, union dues, and optional deductions.  For students and other hourly workers, the payroll register indicates the number of hours worked in the month and the hourly pay rate.

The collection includes a monthly payroll register; year-end summaries (beginning in 1984) that include all payroll information for a given calendar year; and, beginning in March 1993, quarterly summaries  that provide calendar-year-to-date summaries of payroll.  Within each monthly, quarterly, or year-end summary, payroll information is provided in alphabetical order by last name of the employee.

Because a given sheet of microfiche includes information from multiple individuals, scans or printouts of payroll information for an individual will be provided by SCARC staff once it has been determined that access to that information is accessible (i.e. not restricted from disclosure) to the individual requesting it.

Biographical / Historical Notes

During the 1980s and 1990s – the period represented by these records – the number of employees at Oregon State University was essentially constant.  In December 1981, there were a total of 8316 full- and part-time employees; in December 1998, the total had decreased slightly to about 8200.  Between 1981 and 1998, the number of classified employees (staff) decreased from about 2300 to about 1400 and faculty increased from 2450 to about 2800.  Approximately 2300 students were employed part-time in 1981; this number increased slightly to 2500 in 1998.

The Oregon State System of Higher Education (OSSHE) was established in the early 1930s to coordinate academic programs and provide administrative and institutional services to the public colleges and universities in Oregon.  In 1998 OSSHE changed its name to the Oregon University System.

Acquisition Note: The payroll microfiche were received on regular distribution by the University Archives through 1998.  As of 2018, they are considered part of the historical archival collections of the Special Collections and Archives Research Center.

Processing Information: The microfiche for 1980-1998 were moved from a microfiche cabinet to microfiche boxes in 2018.  The microfiche for 1971-1979 were transferred from the Business Affairs Records (RG 017) in June 2018.
