Abstract

The University Advancement Records contain materials that document special events held for OSU alumni, faculty and staff, students and others, as well as materials relating to the Office of Finance and Administration and the OSU Web Pages Committee. Also included in this collection are materials generated by the Office of University Marketing which pertain to the testing and evaluation of a new Beaver logo for use by OSU Athletics.

Scope and Content Notes

Accession 1996:104 consists of a slide-tape program prepared for the 25-Year Club event in May 1996, highlighting events and activities during the 1970-71 and following academic years.

Accessions 2000:066 and 2000:106 contain records that pertain to focus group research, advertising campaigns, annual university-personnel conferences, and the OSU Foundation/Alumni Association. Included are high school newspapers, annual reports, meeting minutes, conference materials, transcripts from focus group meetings, videotapes, and audiotape recordings.

Accession 2001:025 is made up of records from the Office of University Marketing and includes correspondence, minutes, and reports. The materials were generated by the following committees: the Marketing Strategic Advisory Committee and the Scholarship Campaign Committee. Also included are minutes from a University Advancement Director's meeting.

Accession 2003:022 consists of records which pertain to the testing and evaluation of a new Beaver logo for use by Athletics and focus group testing. The materials relating to logo development, which include correspondence, brochures, logo slicks, and reports, also address the usage guidelines for the OSU logo as well as the wordmark. In addition to statistical overviews and survey results, the focus group records contain transcriptions of interviews between University Marketing Director Jill Shuster and students in meetings in Portland, Denver, Central Oregon Community College, and Linn-Benton Community College.

Accession 2003:025 includes correspondence, meeting minutes, memoranda, newspaper clippings, and reports. Among the subjects covered in these records are: University Advancement strategic planning, the reclassification and transfer of university development-oriented job positions to the OSU Foundation, university connections with the federal government, and marine mammal research endowments.

Accession 2003:066 contains records generated by the Office of University Marketing and includes brochures, correspondence, logo slicks, marketing plans, newspaper clippings, publications, reports, and survey materials. Among the subjects addressed in these records are: outreach and recruitment of minority applicants, student retention, student scholarships, media promotion, and marketing plan development.

Accession 2003:068 includes correspondence, marketing plans, meeting minutes, memoranda, newspaper clippings, publications, reports, and survey materials. Included among the subjects covered in these records are: marketing to and recruitment of Asians and Latinos in Oregon, the OSU Portland Center, the Kellogg Commission, strike planning (for action by university employees), the Pendleton Round-Up, and race relations at OSU.

Accession 2003:099 is made up of records generated by the Office of University Advancement which relate to the planning and publicity of special events at the university such as post-athletic game parties, building dedications, employee receptions, and the annual food drive campaign. Among the materials included in these records are: brochures, budgetary records, buttons, correspondence, invoices, mailing lists, meeting minutes, newspaper clippings, photographs, and publications. The photographs, which number about 700 prints, negatives, and slides, depict commencement ceremony events, 25-Year Club receptions, and the 1997 food drive campaign.

Accession 2004:079 includes documentation pertaining to special event planning by the Office of University Advancement and includes brochures, correspondence, notes, photographs, publications, and reports. This transfer also contains records from the Conference Services and Special Events Strategic Planning Committee and the OSU Board of Advisors. The photographic images (numbering about 200 prints, 200 negatives, and 66 slides) depict scenes from the 2000 Spring commencement and portraits of OSU employees joining the "25-Year Club."

Accession 2005:023 consists of records generated by the Office of University Marketing and includes correspondence, meeting minutes, and reports. In addition to reports summarizing focus group and survey research, this transfer also includes an annual report, marketing and recruitment campaign plans, award records, and two cassette sound recordings of promotional radio ads.

Accession 2006:010 contains materials relating largely to special event planning and attendance by University Advancement staff. These records also document facility fundraising campaigns, faculty/staff awards disbursement, workshop development, and budgetary management. Records from the University Development Council and other administrative policy-making committees involved in naming policies, logo usage, image management, and publications are also included in this transfer.

Accession 2006:019 consists of records generated by the Office of University Advancement which relate to the planning and publicity of special events for the university such as post-athletic game parties, meetings, receptions, dinners, and the annual food drive campaign. Included among the materials in this transfer are: brochures, buttons, correspondence, mailing lists, meeting minutes, newspaper clippings, photographs, and publications. The photographic images number about 430 in total (230 prints, 151 negatives, and 49 slides) and depict the 2001 commencement ceremony and a reception for alumnus Carl Froude. Images for a slide show presented at the 25-Year Club annual dinner are also included in this transfer.

Accession 2006:042 is made up of reports and other materials summarizing survey research conducted by Moore Research Inc. for University Marketing. Based on survey results gleaned from two different sample groups (500 Oregon voters and 1,000 Oregon high school students), these records include "cross-tab" numeric data and excerpts of "verbatim" comments made by respondents. The data also tracks perceptions of the University of Oregon and Portland State University. A draft focus group report on "Issues in Higher Education" conducted for the Oregon University System was also included in this transfer.

Accession 2007:091 contains materials generated by the Office of University Advancement which relate to the planning and publicity of special events. Primarily made up of photographs depicting events and ceremonies related to university commencement for the years 2002 through 2004, this transfer also contains correspondence and meeting minutes from the Events Networking Group and the Forestry Centennial Celebration Committee. Numbering about 1,600 images in total (800 prints and 800 negatives), the photographs in this accession also document two farewell gatherings held for Vice Provost Tim White in 2004. There are also images on a cd and diskette depicting one of the events for Tim White and a ceremony for EOC graduates. Two VHS videotape recordings of the 1996 and 2000 commencement ceremonies were also found among these materials.

Accession 2007:093 is made up of materials generated by the Office of University Marketing and consists of ad campaign files, sound recordings, cds, and 3 betacam videotapes. Documenting interaction between ad firms and University Marketing, the ad campaign records include correspondence, approval for marketing services forms, and samples of print ads. Also included in this transfer are marketing plans for African-American, Asian-American, and transfer students. Numbering 59 cassettes in total, the sound recordings consist of radio ad spots, public service announcements, and interviews with students as a part of focus group research. The cds (16 in all) and videotapes also contain radio ad spots and documentation of focus group research.

Accession 2008:003 is made up of correspondence, meeting minutes and agendas, newspaper clippings, notes, publications, and reports. This transfer documents the coordination of the annual campus Food Drive campaign, distribution of guest passes to football and basketball games on behalf of the President, and the organization of the yearly dessert ceremony for the OSU 25-Year Club. These records also pertain to University Advancement office strategic plan development and an office retreat. Also included in this transfer are monthly activity reports from University Advancement Directors and the Alumni Association.

Accession 2008:106 consists of materials reflecting survey research generated by the Office of University Marketing. Mostly made up of reports and studies, the surveys document perceptions of OSU by the following groups: Oregon voters, Oregon high school sophomores and juniors, professional faculty at OSU, and recent recipients of graduate degrees from OSU. Among the foci of these surveys are Distance and Continuing Education classes through OSU and the 2007 OSU redesign campaign. Also included in this transfer is a target market plan oriented toward Latino student recruitment.

Accession 2010:051 contains materials generated by the Office of University Advancement that document the organization of receptions, dinners, dedication ceremonies, and other special events for OSU alumni, faculty/staff, students, international visitors, program volunteers, and organizations such as the Council of Regents. Among the events described in these records are: football games, annual commencements, convocation presentations, receptions for new hires at OSU, holiday gatherings, and alumni reunions. In addition to worksheets tracking event catering and other costs, this transfer also contains correspondence, event programs, flyers, guest lists, invitations, meeting minutes, photographs, schedules, and scripts.

Accession 2011:023 consists of materials generated by the office of University Marketing that reflect various projects in the design of webpages and print media, focus group research, ad development, and administrative planning. In addition to examples of the brochures, holiday cards, flyers, posters, and other print media produced by this office, these records also contain annual reports, cds, correspondence, meeting minutes, newspaper clippings, notes, and scripts. The cds mostly contain digital images, sound files, and graphic design work generated for ads and publications. Also included in this transfer are moving image and sound recordings produced through University Marketing that are primarily ads and public service announcements developed for TV and radio broadcast. Numbering 90 video (55 VHS tapes, 19 Betacam SP tapes, 16 DVDs) and 18 sound recordings (17 cds and 1 cassette) in total, these recordings also contain raw film footage and news stories about OSU featured on local TV stations. The footage documents various OSU-related events such as a Mom's Weekend fashion show, campus tours, Caspian Tern research, and athletic games. Some of the radio and print ads are in Spanish.

Accession 2013:087 is made up of materials generated by the Office of University Advancement that document the organization of receptions, dinners, groundbreaking ceremonies, meetings, and other special events for OSU alumni, faculty/staff, students, international visitors, and organizations such as the OSU Board of Advisors. Among the events described in these records include: University Day, commencement ceremonies, farewell parties, the annual food drive campaign, receptions for the 25-Year Club, holiday gatherings, and alumni reunions. These records also reflect the design and production of greeting cards for the President's Office. In addition to programs prepared for the events, this transfer also contains cds, correspondence, flyers, guest lists, invitations, meeting minutes, newspaper clippings, photographs, schedules, and scripts. Numbering about 387 images in total (180 prints, 138 negatives, and 69 slides), the photographs depict various events.The 21 cds contain presentations, images, and card design graphics.

Accession 2015:014 consists of materials generated by the Office of University Advancement that document the organization of three special events: a memorial observance for Crop and Soil Science faculty Elizabeth Sulzman, OSU Day at the Oregon State Fair, and the 2008 Innovation Breakfast. In addition to correspondence and event programs, this transfer includes a cd, 2 DVDs, guest lists, invitations, and newspaper clippings.

Accession 2015:022 consists of materials generated by the Office of University Advancement and is made up of cds, correspondence, DVDs, meeting minutes, notes, reports, survey materials, and a VHS videotape. About one third of this transfer relates to the "Portland Initiative" project to expand OSU's presence in Portland. In addition to lease information for office space and other budgetary documentation, these materials also contain floor plans, meeting minutes, correspondence, and reports. Other records in this accession reflect the work of the Campus Outdoor Art Committee, the Capital Campaign Advisory Committee, and the Media, Marketing and Events Management Review Committee. Survey materials and market research findings materials pertain to an integrated marketing communication plan, perceptions of OSU among a sample of Oregon voters, and logo usage. The 21 DVDs contain TV ad spots, short OSU promo films, a recording of a televised interview with President Ed Ray, time-lapse footage of a jet being painted in "OSU" colors, a broadcast news story about the Hinsdale Wave Tank Lab, and a film produced for the opening of the Hallie Ford Center. The 15 cds contain a combination of powerpoint presentations, digital photographs, sound files, and text documents. On the VHS videotape is the TV ad "PAC 10 Explore."
