Abstract

The Office of Admissions Records document the recruitment and orientation of new students, primarily undergraduates, to Oregon State University. The records include reports, admissions data, correspondence, publications, and committee records. Of special note are materials documenting the recruitment of minority students and programs to foster the academic success and retention of minority students, primarily through the Educational Opportunities Program. The Office of Admissions was established in 1960.

Scope and Content Notes

The Office of Admissions Records document the recruitment and orientation of new students, primarily undergradautes, to Oregon State University. The bulk of the records are for the period that Wallace E. Gibbs (1963-1991) and Kay Conrad (1991-1997) were Director of Admissions.

The records include reports, admissions and applications data, correspondence, publications, committee records, and records for recruitment and orientation events and programs. In addition to policies and procedures for admission to Oregon State Univeristy, the records address retention, residence classification for determining in-state or out-of-state tuition, and long-range planning. Of special note are materials documenting the recruitment of minority students and programs to foster the academic success and retention of minority students, primarily through the Educational Opportunities Program. The records include photographs (all color prints) taken in the 1980s and early 1990s. Most of these were assembled by the office for recruiting and promotional purposes. Several images of College Fairs and the Oregon High School Principal/Counselor Interview Day are included.

Biographical / Historical Notes

A separate Admissions Office was established at Oregon State College in 1960. Prior to that time, the Registrar's Office performed the admissions functions of providing information to prospective students and evaluating students for admission. Dallas W. Norton served as the first Director of Admissions from 1960 to 1963, when Wallace E. Gibbs, who had been appointed the Registrar in 1961, became the Director of Admissions. Gibbs held the position until his retirement in 1991. Diana Kay Conrad became Associate Director of Admissions in 1978 and served as Director from 1991 until her retirement in 1997. More recent directors include Robert Bontrager (1997-2001) and Michelle Sandlin (2001-2011). Noah Buckley became Director of Admissions in 2011.

Acquisition Note: The records were transferred to the Archives in multiple accessions beginning in 1990. Most of the materials were received in 1995-1996.

Related Materials: The Office of Admissions Videotapes (FV 233) include videotapes used for recruitment and orientation. The Registrar's Office Records (RG 053 - SG 1) include extensive materials documenting student enrollment as well as materials pertaining to Admissions prior to the establishment of a separate Admissions Office in 1960. Ephemeral items and newspapers clippings pertaining to Oregon State admissions are available in the Memorabilia Collection (MSS MC). New Student Programs records are part of the Student Affairs Records (RG 102); the Educational Opportunities Program Records (RG 230) provide additional information about programs for ethnic minority students.

Processing Information: The photographs were originally described as a separate collection, the Admissions and Orientation Photographs (P 233); they were transferred into this collection in 2011 and the photograph collection was closed. Videotapes that were received as part of the Offie of Admissions Records have been transferred to the Office of Admissions Videotapes (FV 233).

Series 1 consists of materials documenting the administration of the Admissions Office, during the years that Wallace Gibbs was director. In addition to budget reports and procedures for employee evaluations and promotion and tenure for student affairs faculty, the annual summary reports provide information on recruiting activities, new student programs, and interactions of the Admissions Office with other campus units, including International Education, Financial Aid, Graduate School, and the Educational Opportunities Program.

Series 3 documents recruitment efforts at college fairs throughout the United States, staffed primarily by Oregon State University alumni volunteers. Series 12 includes reports providing detailed information about admissions to Oregon State from the late 1960s through 1990s, long-range planning reports and documents, and reports of policies and studies. The Annual Admissions Reports provide summary data on new students (freshmen and transfer) entering during the fall term such as location of high school or college attended previously, test scores, high school grade point average, and advance placement status. A consultant's review of the Admissions and Registar's Offices conducted in 1985 is included. Many of the reports provide statistical information about ethnic minority students.

Series 15 consists of color photographic prints assembled by the office for recruiting and promotional purposes. The prints include images of campus buildings and scenes; students and student activities, including special events such as Mom's Weekend and commencement; recreational sports and intramurals; athletics; and the Benny the Beaver mascot. Images of baseball, men's and women's basketball, football, gymnastics, and rowing (crew) athletes and events are included. Of special note are several images of ethnic minority students; bicycles; and snow on campus.
